What to check before you book a corporate DJ

Corporate DJ work in Toronto runs from background music at a lunch reception to a full dance floor at a hotel-ballroom holiday party. The 76 listings below say publicly that they take corporate bookings. Most also do weddings, which helps: they are used to timelines, microphones and venue staff.

The difference from a wedding is that someone else usually owns the schedule. There may be executive remarks, an awards segment, a video, walk-on music for speakers and a hard end time set by the venue. Ask early who calls the cues and whether the DJ is expected to make announcements or stay silent.

Hotels and conference venues often have an in-house AV company. Find out whether the DJ plugs into that system or brings their own, and who pays for the patch. Hotel AV charges can be a bigger line than the DJ fee, so get both numbers before you compare quotes.

Music needs a brief. Tell the DJ the size and age range of the crowd, the tone the company wants and anything that is off limits. A client-facing launch and a staff party in the same room can need completely different volume and repertoire.

Late November and December are holiday-party season. Book the DJ as soon as the venue is confirmed. If the party is on a weeknight, ask whether the DJ prices weeknights differently.

Disc Jockeys Unlimited (DJU), Frequency Entertainment and 586 Event Group are among the listings that describe this kind of work. Whoever you call, ask three things: what backup they bring, how long setup takes, and whether their insurance certificate meets the venue's requirements.

A week or two out, put the DJ in touch with the venue's event manager directly. Plenty of event-day problems are details nobody passed along: a changed room, an earlier finish, a speaker who needs a lapel mic.

Before event week

Settle these four things with the DJ and the venue.

Who runs the schedule

Send the DJ the run-of-show early. Agree who calls each cue: remarks, awards, walk-on music, video. Confirm the venue’s hard end time, and whether the DJ talks on the mic or stays silent.

Music and volume

Tell the DJ who will be in the room and what is off-limits. A product launch, an office holiday party and a conference reception need different volume, different music and a different amount of talking.

House AV or the DJ’s own system

Ask whether the DJ plugs into house AV or brings a system. At hotels and conference venues, get the in-house AV contact before event week. Confirm outputs, stage feeds, microphones and sound-check time.

Backup

Ask what the DJ brings if something fails: a second playback source, spare microphones, spare cables. Ask how they handle a schedule change mid-event.
